Who we are

This website is operated by American Portable Freezer LLC (“APF,” “we,” “us”). This policy explains what we collect when you visit americanportablefreezer.com or book a refrigerated trailer rental through the site, and how we use that information.

Information you give us

When you book a rental, we collect:

• Your name, email address, and phone number
• The delivery address for the trailer (street, city, state, ZIP, and any access notes)
• Rental dates and the trailer type you select
• Anything you write in the delivery-notes field

If you contact us outside the booking flow (text, email), we also keep whatever you send us so we can answer.

Payment information

Rental payments are processed by Stripe. We do not see or store your full card number on our servers. Stripe collects and processes card data under its own privacy policy.

When you complete checkout, Stripe saves your payment method to a customer record tied to your booking so we can, as permitted under the Rental Agreement, charge additional days, cleaning, or documented damage to that card after your rental ends. We store the Stripe customer ID, checkout session ID, payment method ID, and receipt URL alongside your booking record, but not the card number itself.

Information we collect automatically

• IP address and approximate location (used for rate limiting and abuse prevention)
• Browser and device information (user agent)
• Pages visited, time on site, and referrer
• Advertising click identifiers (Google “gclid,” Facebook “fbclid”) and UTM tags if you arrive via an ad or tracked link

How we use your information

• Fulfilling your booking: contacting you to confirm delivery and pickup windows, delivering the trailer to the address you provided, and processing payment.
• Post-rental charges: charging the card Stripe has on file for documented damage, excessive cleaning, extensions, or late returns, as described in the Rental Agreement.
• Analytics: Google Analytics 4 and Microsoft Clarity help us understand how people use the site so we can improve it.
• Attribution: UTM tags and ad click IDs help us see which marketing channels bring in bookings.
• Abuse prevention: IP addresses are used to rate-limit form submissions and block abuse.

We do not sell or rent your personal information, and we do not share it with third parties for their own marketing purposes.

SMS & text messages

By giving us your phone number at booking or by texting us directly, you agree to receive text messages from APF related to your rental: things like booking confirmations, delivery and pickup coordination, extension requests, and damage or receipt follow-ups.

• Message frequency depends on what your rental needs. We do not send recurring marketing texts.
• Reply STOP to opt out at any time. Reply HELP for help, or email us at info@americanportablefreezer.com.
• Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

How long we keep your data

Booking records (your contact info, delivery address, rental dates, line items, Stripe IDs, and any admin notes we add) are kept for a reasonable period after the rental ends for accounting, tax, warranty, dispute-resolution, and legal-compliance purposes. We do not publish a fixed expiration date, but we do not keep this data longer than we have a legitimate reason to.

IP addresses captured for rate limiting are retained only briefly (on the order of hours) before being overwritten.

You can ask us to delete your booking record at any time by emailing info@americanportablefreezer.com. We will honor the request except where we are required to retain the record (for example, after a chargeback or for tax purposes).

Cookies & third-party services

The site uses the following services, each of which may set cookies or collect data under its own policy:

• Cloudflare hosts the site and handles DNS and bot mitigation. Privacy policy
• Stripe processes payments and stores card data. Privacy policy
• Cloudflare Email Service delivers transactional email (booking confirmations, receipts, operations). Privacy policy
• Twilio delivers SMS for booking confirmations and delivery coordination. Privacy policy
• Google Analytics 4 measures aggregate site traffic. Privacy policy
• Microsoft Clarity records session heatmaps and masked replays to help us understand usability issues. Privacy policy
• Google Places API is used server-side to display Google Reviews; no visitor data is sent to Google for this purpose.

Most browsers let you block or delete cookies through their settings. You can also install the Google Analytics Opt-out Browser Add-on to disable GA tracking.

Your rights

You can ask to see what we have about you, correct anything inaccurate, or request deletion, by emailing info@americanportablefreezer.com or texting (463) 250-8867.

Changes to this policy

We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top of this page. The version in effect at the time of your booking governs that booking.
